How To Respond to Online Reviews (Good and Bad)
93% of surveyed shoppers make buying decisions based on online reviews. That's a huge percentage. If you run a business, your reviews are vital to your success — and so is how you answer them.
Reviews are not just a score. They're a public conversation that future customers read carefully — and your replies are part of the story they're reading.
Reply to every review
All of them. Fast responses signal that someone is paying attention. On Google, a reply also adds relevant, keyword-rich content to your profile.
How to answer a five-star review
Keep it short, warm and specific. Thank the customer by name, mention the service they received, and don't turn it into an advert.
"Thank you, Dana — glad the same-day repair got your AC back on before the weekend. We appreciate you trusting us with it."
How to answer a critical review
- Respond within a day or two. Old, unanswered complaints look ignored.
- Stay calm and professional. You're writing for the next hundred readers, not for the reviewer.
- Acknowledge without arguing. Even if you disagree, you can own the experience.
- Take it offline. Give a phone number or email and ask to make it right.
- Never argue point by point in public. It rarely ends well, and it's the fastest way to look defensive.
"Hi Mark — I'm sorry the schedule slipped; that's not the experience we want to give. I'd like to make it right — please call me at the office and ask for me directly."
How to get more reviews
Ask, at the right moment. Right after a job well done, a happy customer is usually glad to help. A simple review request form — sent by text or email with a direct link to your Google review page — makes it easy for them to say yes.
What not to do
Never buy fake reviews, never offer incentives in exchange for reviews, and never ask customers to remove or amend a negative one. Google penalises all three, and the risk to your profile isn't worth it.
Where this fits
Review management is one of the core parts of our Google Business Profile Management service: monitoring, replying, and steadily building your rating with a proper review request process.
